We are excited to announce that on April 15th, 2020, Crystal Clear will be releasing their much-anticipated release of the Social Patient Center (SPC) Version 4.0! In addition to major new features such as Electronic Consents, Note Templates, and Canvases, there are also major changes coming to User Management. Please read the following document carefully as it will have a slight impact on your daily usage of the Social Patient Center software.
On April 15th, 2020 at 7:00am EST, all users will automatically be logged out of the SPC to implement changes to our User Management functionality within the software and the following features will be put in place:
END USER LICENSE AGREEMENT
Upon successful login, all users will be required to accept an End User License Agreement in order to access the Social Patient Center. To accept the agreement, simply read the agreement, scroll to the bottom of the agreement, check the Accept EULA checkbox and click ACCEPT.
AUTO LOGOUT
Users will automatically be logged out of the Social Patient Center after 15 minutes of inactivity. This feature was put in place to align with HIPAA regulations and best practices. After 13 minutes of inactivity, users will see a dialog warning them of the inactivity and display a 2-minute countdown on the screen. Users will then have the option to either logout of the software or stay logged in. The Social Patient Center will not automatically save any work prior to logging you out of the software and you will lose anything that is not saved.
SHOW PASSWORD
When logging into the Social Patient Center, users will be able to click an “eye” icon to show/hide their password to ensure accuracy in the event of failed login attempts.
FORGOT YOUR PASSWORD
When logging into the Social Patient Center, users will now have the ability to click a “Forgot Your Password” link on the login screen. You will be prompted to enter your username. If an email address is associated with the contact profile associated with your user account, an email with a password reset link will be sent to the email address associated with the user account. Prior to April 15th, it is highly recommended that users go into the Contact Profile associated with any and all user active accounts and add an email address to be able to utilize this feature.
To determine if an email address is associated with the user account, simply navigate to the contact profile of the user, verify that the correct user account is selected by clicking the ‘History’ dropdown menu on right middle, right-hand side of the contact profile, and select Login Info. This function is only accessible by Administrators. If you see a username listed in the ‘Username’ field, this means that you have selected the correct account.
To add an email address, simply navigate to the top of the Contact Profile Header and click the ‘Edit’ button above the Patient ID field. Enter the email address you wish to associate with the user account and click ‘Save’. Please be sure the email address is entered correctly to avoid any password reset links being sent to the incorrect user.
When clicking the ‘Reset Password’ link in the email sent to the user, they will be prompted to set a new password. The password reset link will only be valid for 1 hour after it is requested by the user.
OTHER FEATURES COMING ON APRIL 15TH!
In addition to the new features for User Management, we are pleased to announce that the Social Patient Center will now offer the ability for practices to create electronic consents, note templates, and Canvas drawings as part of the Deluxe software package!
ELECTRONIC CONSENTS
In the SPC v4.0 release, practices will have the ability to create electronic consent documents inside the Social Patent Center so that patients can electronically sign documents on desktops and tablets and store them in the Documents section of the Contact Profile. This feature can support electronic signature of consents such as treatment consents, photo consents, HIPAA policies, Financial Policies and much more! The flexibility of the WYSIWYG editor used to create the documents allow practices to design, customize and brand these documents to their liking.
NOTE TEMPLATES
Along with the ability to create electronic consents, practices will also have the ability to create note templates in the Social Patient Center. The templates can be used to fill out consult notes, pre-operative notes, procedure and treatment notes, post-operative notes, and much more! The feature is also designed for practices to create Lab Requisition Form templates, Prescription templates, and other types of clinical notes to store as a PDF in the Documents section of the Contact Profile.
DIAGRAMS / CANVAS DRAWINGS
In the Social Patient Center v4.0 release, practices will also be able to create their own diagrams, also called Canvases, where images can be inserted into a document that are related to a specific treatment or procedure and annotate on the diagram. This feature is extremely beneficial for keeping track of injection sites and units injected.
OTHER NOTABLE FEATURES
More great features and functionality will be released in the Social Patient Center 4.0 release on April 15th.
RECURRING TASKS
When creating a task in the Task Manager, users will now have the ability to set recurring tasks to follow up with patients.
CONTACT MERGE
Users will now be able to merge contacts with appointment history, financial history, tasks, program credits, and loyalty reward points.
RETENTION
Users using our Calendar and Billing modules will now have a means in the Contact List filters to find patients that are due back for recurring procedures and place the contacts into a marketing group to trigger automated email and text campaigns.
NOW ACCEPTING BETA USERS
If your practice is currently using the Social Patient Center for practice management and would like to be a beta user for the new electronic consents, note templates, and diagrams features, please send fill out this form for consideration. We will have a slow rollout of these features during the beta period, training practices on how to create their own documents in the SPC. Once the beta period has ended, documentation and training material will be provided on Crystal Clear University and the features will be made generally available for all practices with the Deluxe software package.
